Job Title: Accounts Payable & Payroll Specialist

Job Type: Full-time

Reports to: Accounting Manager

Location: Santa Clara

Hours: 8:00 am – 5:00 pm, Monday - Friday

Job Overview

We are currently searching for an independent, self-starter to join our team as an Accounts Payable & Payroll Specialist

Candidates must be detail-oriented, have a background in operations, accounting, AP, payroll and customer service. Most of all, you must be excited about contributing to a growing, fast-paced start-up technology company.

Responsibilities and Duties

  • Responsible for high volume daily invoice processing in Bill.com system. This includes routing invoices for approvals, coding and entering invoices, and processing payments
  • Ensure entered bills, invoices, and check requests have the appropriate supporting documents, approvals and account/department coding
  • Resolve purchase order, invoice or payment discrepancies
  • Verify vendor accounts by reconciling monthly statements and related transactions
  • Maintain and update vendor profiles and obtain W-9
  • Process employee expense reports in Expensify and ensure proper documentations and authorization in accordance with company accounting and travel policies
  • File use tax and ensure sales tax is properly recorded
  • Prepare and submit 1099s
  • Maintain petty cash by recording entry and verifying documentation
  • Own full cycle bi-weekly and semi-monthly payroll processing
  • Review of all payroll-related inputs to ensure accurate and timely payment of salaries and benefits, compliant with federal & state regulations
  • Ensure overtime is recorded and paid correctly in compliance with local, state and federal rules
  • Resolve employee payroll related issues and inquiries
  • Assist with the reconciliation and funding of 401K, Flexible Spending Account and Deferred Compensation to participants in a timely manner on each pay date
  • Comply with and promote corporate policies, procedures and ensure proper internal controls are being followed.
  • Provide support to the finance team and all other duties as assigned

Required Qualifications

  • 3 years of previous AP
  • Self-started with ownership and pride in your performance and creating company’s success
  • Demonstrated positive attitude, high integrity and self-discipline
  • Good listening and communication skills
  • Proficient data entry skills
  • Competency with Gusto, ADP, QuickBooks, Bill.com, Expensify, NetSuite and other accounting tools
  • Microsoft Office experience
  • Excellent organizational, interpersonal and communication skills
  • Vendor relationships
  • Ability to multi-task in a fast-paced environment
  • Bachelor's degree in accounting or program/project management, or equivalent
  • Must be detail oriented
  • Eligibility to work in the United States
