Position: Administrative Assistant / Receptionist (Full-Time)

ESSENTIAL DUTIES AND RESPONSIBILITIES

Core duties and responsibilities include, but are not limited to, those listed below:

· Greets on-site visitors, determines nature of business, and announces visitors to appropriate personnel via telephone and/or company paging system

· Creates welcoming reception environment for customers, visitors and staff members

· Answers incoming telephone calls, determines purpose of callers, takes and delivers messages or transfers calls to appropriate personnel or department

· Schedules conference calls; Coordinates meetings

· Coordinates outbound shipments (FedEx, UPS, DHL…); Receives incoming packages and deliveries

· Orders, maintains and stocks office supplies and inventory.

· Arranges customer lunch, employee travel schedules and reservations

· Assists with Accounting activities, such as PO/ bookkeeping/ Payroll, as needed

· Assists with Human Resources activities, such as recruitment/ job posting/ schedules interviews/ onboarding

· Assists with various administrative, Facilities projects, as needed; Act as janitorial liaison; audit/inspect janitorial work

· Negotiates and maintains contracts with outside vendors

· Performs other clerical duties as needed, such as filing, photocopying, and collating

· Able to adhere to a working schedule of: Mon. through Fri. from 8 am to 5 pm

Qualifications

· Associate’s Degree (A. A.) or Bachelor’s Degree (B. A.); or equivalent, one to two years related experience, or equivalent combination of education and experience

· Strong knowledge of computer systems and Microsoft Office (Word, Excel, Outlook)

· Strong multi-tasking and organizational capabilities

· Accurate and efficient data entry

· Ability to work independently and as a member of various teams and committees.

· Outstanding written and verbal communication skills

· Great communication and interpersonal skills

· Detail-oriented
